This Privacy & Data Protection Policy describes how Amersham Road Cycling Club (ARCC/the Club) will collect, use, protect and store personal information.

Amersham Road Cycling Club takes your privacy seriously and will only use your personal information for legitimate Club purposes, including administering membership, responding to joining enquiries, communicating with members and organising Club activities.
Membership Information
Your membership information is securely held on the British Cycling membership system. British Cycling holds this information on behalf of ARCC.
Only authorised Club officials who require access to administer the Club have access to this information. Club officials with access to personal information are expected to keep that information secure and confidential.
All emails and newsletters relating to Club membership are generated using the systems available to the Club.

Joining Enquiries and Google Forms
If you use the Club’s online joining enquiry form, the information you provide will be collected and stored in a Google Sheet managed by Amersham Road Cycling Club.
The information may include your name, email address, telephone number and any other information you choose to provide in your enquiry.
We use this information solely to respond to your enquiry, provide information about joining the Club and, where appropriate, assist you with the Club membership process.
Access to the Google Form responses and associated Google Sheet is restricted to authorised Club officials who require access to respond to enquiries or administer the Club.
Your enquiry information will not be used for marketing purposes or shared with third parties for their own marketing purposes.

We will retain joining enquiry information only for as long as reasonably necessary to deal with your enquiry and any subsequent membership process. Information that is no longer required will be securely deleted.
Club Website
ARCC does not otherwise hold member data on its website.
The website galleries may contain images submitted by Club members or other contributors for inclusion on the website. By submitting an image, the sender confirms that they have the necessary rights or permission to submit the image for publication.
If you submit an image and subsequently wish it to be removed, please contact the Club.

WhatsApp & Mobile Numbers
Where members provide their mobile number and choose to participate in Club WhatsApp groups, the number may be visible to other members of the relevant WhatsApp group.
WhatsApp is used as a communication channel for Club activities, including rides, events and other Club information. As these are group conversations operated through WhatsApp, the content and information shared within the groups cannot be fully controlled by the Club.

Communication and Club Information
ARCC may communicate directly with members by email, WhatsApp or other Club communication channels.
This may include information about Club activities such as rides, training sessions, social activities, training camps and holidays organised by the Club.
These communications are considered necessary for members to participate in and receive information about Club activities.
We will not sell or provide your personal information to third parties for their own marketing purposes.
Where a Club activity involves an external organisation or service provider, any direct relationship between you and that organisation will normally be between you and the organisation concerned.
